This Privacy Policy explains how Cognisity collects, uses, discloses, and protects information in connection with the Site and our marketing and business communications. It does not describe data processing performed under a separate written customer agreement for our government SaaS services (which is typically covered by a Data Processing Addendum and related contractual terms).

1. Scope

This Policy applies to information collected through the Site and related communications (for example, when you submit a contact form, subscribe to updates, register for an event, or apply for a job). If you are a government client user accessing Cognisity’s AI platform, the handling of government-provided datasets and service data is governed by the applicable customer agreement.

2. Information We Collect

We may collect the following categories of information:

A. Information you provide

Contact information (such as name, email address, phone number, organization, and job title).
Communications (such as the content of messages you send us, meeting notes, or support inquiries submitted through the Site).
Marketing and event information (such as webinar registrations, preferences, and survey responses).
Recruiting information (such as resume/CV, work history, education, and references, if you apply for a role).

Device and usage information (such as IP address, browser type, device identifiers, pages viewed, time spent, referring URLs, and interactions with the Site).

Business contact information from partners, event organizers, data enrichment providers, or public sources, to the extent permitted by law.
Analytics and advertising partners may provide information about your interactions with our content (depending on your settings and their policies).

3. How We Use Information

To respond to your inquiries, schedule meetings, and provide requested information.
To send administrative messages (e.g., confirmations, notices, or updates).
To send marketing communications, where permitted by law (you can opt out at any time).

For recruiting and hiring purposes if you apply for a role.

4. How We Share Information

Service providers: vendors who help us operate the Site and business (e.g., website hosting, analytics, customer relationship management, email delivery). They are authorized to use information only as needed to provide services to us.

We do not sell personal information in exchange for money. Some privacy laws define “sale” or “share” broadly to include certain disclosures for cross-context behavioral advertising. If we engage in such activities, we will provide applicable opt-out mechanisms described in Section 9.

5. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy, including to comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information and the purpose of processing.

6. Cookies and Similar Technologies

We use cookies, pixels, and similar technologies to operate the Site, remember preferences, and understand traffic and usage. Depending on your location, you may be able to control cookies through a cookie banner or preference center, and you can also adjust browser settings to block or delete cookies. Blocking certain cookies may affect Site functionality.

Analytics: We may use analytics tools (e.g., Google Analytics or similar) to understand how visitors use the Site. Advertising: We may use limited advertising or retargeting tools. If we do, we will provide choices consistent with applicable law.

7. Do Not Track

Some browsers offer a “Do Not Track” (DNT) signal. The Site does not currently respond to DNT signals because there is no universally accepted standard for how to interpret them. We may allow certain third parties (such as analytics providers) to collect information about your online activities over time and across different websites, subject to your cookie choices and their policies.

8. Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information. No method of transmission or storage is 100% secure; therefore, we cannot guarantee absolute security.

9. Your Choices and Rights

A. Marketing communications

You can opt out of marketing emails by using the unsubscribe link in the email or by contacting us at privacy@cognisity.ai (or the contact details below). Even if you opt out of marketing emails, we may still send non-marketing communications (e.g., administrative or transactional messages).

B. Cookie controls

You can control cookies through your browser settings and, where available, our cookie preference tools.

C. U.S. state privacy rights (including California and Colorado)

Depending on where you live and applicable law, you may have rights such as:

Access/Right to know: request information about the personal information we collect, use, and disclose.
Deletion: request deletion of certain personal information.
Correction: request correction of inaccurate personal information.
Opt out: opt out of certain processing (e.g., targeted advertising, “sale” or “sharing” as defined by law).
Data portability: receive a copy of certain information in a portable format.
Non-discrimination: you will not be discriminated against for exercising your rights.

To submit a request, contact us using the information in Section 13. We may need to verify your identity before responding. We will respond within the timeframe required by applicable law.

California Notice at Collection (for Site Visitors)

California residents: At or before the point of collection, we collect the categories of personal information described in Section 2 for the purposes described in Section 3. We retain personal information as described in Section 5. If we collect sensitive personal information (for example, account credentials for a gated portal), we use it only as necessary to provide requested services, secure accounts, or as otherwise permitted by law.

10. Children’s Privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, please contact us so we can delete it.

11. International Visitors

If you access the Site from outside the United States, your information may be processed in the United States or other locations where we or our service providers operate. Those locations may have different data protection laws than your jurisdiction.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on the Site and update the “Last Updated” date above. Your continued use of the Site after the update becomes effective indicates your acceptance of the updated Policy.
